Outsourcing your finance function? 8 data-security questions to ask first

For accounting firms and finance leaders, the biggest worry about outsourcing is rarely cost or quality. It is confidentiality. Your clients trust you with their financial data, and that trust has to extend to anyone who works on it.

Before you sign with any outsourcing provider, ask these eight questions, and expect clear, specific answers.

1. Who will actually see our data?

Ask for the named team and their roles. Access should be limited to the people working on your account, with no shared logins.

2. Do you sign NDAs at company and individual level?

A company-level agreement is not enough. Every team member who touches your work should be bound by an individual confidentiality agreement.

3. Will you work inside our systems?

The safest model is for the provider to work directly in your cloud accounting, audit and document platforms, using accounts you control and can switch off at any time.

4. How are logins protected?

Look for unique user accounts, multi-factor authentication and role-based permissions that follow the principle of least privilege.

5. How are files shared?

Documents should move only through secure, encrypted channels. Personal email accounts, messaging apps and USB drives should be prohibited.

6. What controls exist on work devices?

Ask about device encryption, endpoint protection, restrictions on downloads and printing, and how devices are secured in the office and when working remotely.

7. How is work reviewed and logged?

A clear audit trail, showing who prepared and who reviewed each deliverable, protects quality as well as security.

8. What happens when the engagement ends?

There should be a defined offboarding process: access revoked on the same day, and any data returned or securely deleted, with written confirmation.

The bottom line
